Description
This course is designed for individuals who are responsible for planning, coordinating or supporting workplace, corporate or professional events and require an understanding of the key activities involved before, during and after an event. The course introduces the event planning process, beginning with establishing clear objectives and defining key parameters such as the intended audience, budget, level of formality, venue, speakers, catering and accommodation requirements. Learners explore how to develop an effective event plan incorporating tasks, responsibilities, deadlines, budgets, contact information and progress monitoring. Learners consider practical aspects of event preparation, including budget management, obtaining sponsorship and developing partnerships, delegating responsibilities, selecting and inspecting suitable venues, identifying and engaging speakers, arranging food and refreshments and managing contracts with venues, suppliers and other service providers. The course also examines event marketing and communication, invitations, registration arrangements and preparation of appropriate delegate materials. The course develops understanding of contingency planning and the importance of anticipating circumstances that could disrupt an event, such as speaker absence, staff shortages, technical problems, supplier failures or adverse weather. Learners also consider how to brief the event team and establish clear responsibilities and communication arrangements before the event. Learners explore responsibilities on the day of an event, including arriving sufficiently early, checking venue arrangements, briefing staff, providing appropriate signage and contact information, coordinating activities and responding calmly and effectively to unexpected problems. Finally, the course considers post-event evaluation and follow-up, including obtaining feedback from attendees and stakeholders, conducting team debriefs, reflecting on successes and areas for improvement, following up with attendees, speakers and other contributors, and preparing an event report to support future planning and continuous improvement.
